Terms and Conditions

Welcome to Tropos Adventures! By booking a tour or trek with us, you agree to the following terms and conditions. Please read them carefully to ensure a safe and enjoyable experience.


1. Booking and Payment

  • Eligibility: All participants must be at least 18 years old. Minors must be accompanied by a responsible adult.
  • Booking Confirmation: Your booking is confirmed only after we receive full payment or a deposit as specified at the time of booking.
  • Payment Methods: We accept bank transfer, debit/credit cards, phone pay, cheque & cash. Payments must be made in full before the departure date.


2. Health and Fitness Requirements

  • Physical Fitness: Our treks and tours may require a certain level of physical fitness. It is the responsibility of the customer to ensure they are physically capable of participating in the activities.
  • Medical Conditions: You must inform us of any medical conditions or medications that could affect your participation.


3. Safety and Conduct

  • Guide Authority: Our guides have the authority to make decisions regarding the safety and well-being of the group. Participants are expected to follow their instructions at all times.
  • Prohibited Items: Participants are prohibited from bringing illegal substances, firearms, or any items that may pose a danger to the group.
  • Behavior: We reserve the right to remove any participant from the tour or trek if their behavior is disruptive, dangerous, or detrimental to the enjoyment of others.


4. Assumption of Risk

  • Acknowledgment: By participating in our tours and treks, you acknowledge that these activities involve inherent risks, including but not limited to accidents, natural disasters, and wildlife encounters.
  • Liability Waiver: Tropos Adventures is not liable for any injuries, losses, or damages that occur during the trip, except where mandated by law.


5. Changes to Itinerary

  • Unforeseen Changes: We reserve the right to alter itineraries due to weather, safety concerns, or other unforeseen circumstances. We will make every effort to provide suitable alternatives.
  • Customer-Requested Changes: Any changes to the itinerary requested by the customer may incur additional fees.


6. Travel Insurance

  • Requirement: All participants are required to have travel insurance that covers medical expenses, trip cancellations, and emergencies.
  • Proof of Insurance: You may be asked to provide proof of insurance before the trip.


7. Governing Law

These terms and conditions are governed by the laws of NEPAL. Any disputes arising from these terms shall be resolved in the courts of Nepal.


8. Changes to Terms

We reserve the right to modify these terms and conditions at any time. Any changes will be posted on this page, and your continued participation constitutes acceptance of the revised terms.

Return and Refund Policy

Effective Date: January 1st, 2025


At Tropos Adventures, we are committed to providing exceptional travel and trekking experiences. We understand that plans can change, and we have outlined our return and refund policy to accommodate such circumstances. Please read this policy carefully.


1. Cancellations

Cancellation by the Customer:

  • Timeframe: If you wish to cancel your booking, you must notify us as soon as possible. The cancellation fee is based on the time of cancellation prior to the trip departure:
  • 60 days or more: 90% refund (minus any non-refundable deposits). 
  • 30 to 59 days: 50% refund
  • Less than 30 days: No refund.


2. Refunds

  • Non-refundable Deposits: Some trips require a non-refundable deposit. This deposit covers planning and administrative costs.
  • Processing Time: Refunds will be processed within 10 business days after the cancellation is confirmed.
  • Payment Method: Refunds will be issued to the original payment method used at the time of booking.


3. Changes to Bookings

  • Customer-Initiated Changes: If you wish to make changes to your booking, such as altering dates or upgrading services, please contact us at least 14 days before the departure date. Changes may incur additional fees.
  • Tropos Adventures-Initiated Changes: If we need to make changes to your itinerary (e.g., due to weather or safety concerns), we will notify you as soon as possible and offer suitable alternatives.


4. Rescheduling Bookings

  • You may transfer one time to another trip without penalty by notifying us 90 days or more prior to departure. After that time, you are subject to cancellation fees, listed under our cancellation policy.


5. No-Shows

  • Policy: If you fail to arrive on the scheduled departure date without prior notification, you will not be eligible for a refund.


6. Insurance

  • Recommendation: We highly recommend that all customers purchase travel insurance that covers trip cancellations, interruptions, and unforeseen events.
