Terms and Conditions

These Terms & Conditions apply to all bokings made with Tropos Adventures. By confirming a booking and making a payment, you acknowledge that you have read, understood, and agreed to the terms outlined below.


1. Booking and Payment

  • Eligibility: All participants must be at least 18 years old. Minors must be accompanied by a responsible adult.
  • A booking is confirmed once the required deposit is received.
  • The remaining balance must be paid upon arrival in Kathmandu and before the trek begins, unless otherwise agreed in writing.
  • All prices are quoted in USD unless stated otherwise.


2. Cancellation, Refunds & Credits

  • All cancellations are subject to the Tropos Adventures Cancellation & Refund Policy.
  • Refunds are limited to recoverable costs only.
  • Trip credits are not redeemable for cash an are valid for up to 24 months.


3. Travel Insurance (Mandatory)

All clients must have comprehensive travel insurance that covers:

  • Trekking activities up to the maximum altitude of the itinerary
  • Emergency medical treatment
  • Emergency evacuation (including helicopter rescue)
  • Trip cancellation or interruption


Clients must provide proof of insurance before the trek begins.


4. Health, Fitness & Responsibility

  • Clients are responsible for ensuring they are physically and mentally fit for treking in Nepal.
  • Any pre-existing medical conditions, allergies, or dietary requirements must be disclosed at the time of booking.
  • Tropos Adventures reserves the right to decline or modify participation if a client's health poses a risk to themselves or others.


5. Guides, Porters & Staff

  • Tropos Adventures provides licensed guides and insured porters.
  • Clients are expected to treat all staff with respect and dignity.
  • Abuse, harassment, or unsafe behavior toward staff may result in immediate termination of services without refund.


6. Altitude & Safety

  • Trekking in Nepal involves travel at high altitude, which carries inherent risks.
  • Clients agree to follow the guide's instructions rearding pace, acclimatization, and safety decisions.
  • Tropos Adventures reserves the right to adjust the itinerary for safety, weather, or medical reasons.


7. Itinerary Changes & Force Majeure

  • Itineraries may change due to weather, road conditions, natural disasters, political events, or other circumstance beyond our control.
  • Tropos Adventures is not liable for delays, cancellations, or additional costs resulting from force majeure events.


8. Personal Belongings

  • Clients are responsible for their personal belongings throughout the trip.
  • Tropos Adventures is not responsible for loss, theft, or damage to personal items.


9. Photography & Media

Tropos Adventures may use photographs or video taken during the trip for promotional purposes unless the client requests otherwise in writing.


10. Complaints & Dispute Resolution

  • Any concerns should be raised as soon as possible with the guide or Trip Manager.
  • Complaints must be submitted in writing within 14 days of trip completion.
  • Disputes will be governed by the laws of Nepal.


11. Acceptance of Risk

  • Trekking and adventure travel involves inherent risks.
  • By participating, clients acknowledge and accept these risks and agree not to hold Tropos Adventures liable for circumstances beyond reasonable control.


12. Agreement

By confirming your booking and making payment, you agree to these Terms & Conditions and the accompanying Cancellation & Refund Policy.


Tropos Adventures reserves the right to update these Terms & Conditions at any time.

Cancellation, Refund & Rescheduling Policy

At Tropos Adventures, we understand that plans can change -- sometimes unexpectedly. Our goal is to be fair, transparent, and compassionate, while also honoring commitments made to our local team and partners.


1. Refunds vs. Trip Credits

  • Trip credits are the preferred and primary option for cancellations.
  • Refunds are limited to recoverable costs only.
  • Trip credits are not redeemable for cash and may be applied to future trips.


2. Cancellation Timeline


A. More Than 30 Days Before Trip Start

  • Full refund minus non-recoverable costs, or
  • 100% trip credit valid for up to 24 months


B. 15 - 30 Days Before Trip Start

  • Up to 70% of the total trip cost issued as trip credit
  • Any refundable portion depends on recoverable services at the time of cancellation
  • Credit valid for up to 24 months


C. Less Than 14 Days Before Trip Start

  • Many services (guides, porters, transport, permits) are typically already paid or contractually commited
  • Refunds may be limited or unavailable
  • Unused and recoverable services will be issued as trip credit
  • Credit valid up to 24 months


3. Non-Recoverable Costs

Non-recoverable costs may include, but are not limited to:

  • Government permits and national park fees
  • Guide and porter advance wages
  • Transport deposits
  • Hotel payments already released
  • Banking and payment processing fees


4. Emergency & Compassionate Circumstance

In cases of serious illness, hospitalization, or death in the immediate family, we prioritize compassion and flexibility:

  • Wherever possible, payments will be converted into future trip credit
  • Each case is reviewed individually to balance care for our guests and fairness ot our local team
  • We may request basic supporting documentation (e.g., medical note or hospital record)


5. Rescheduling

  • Trips may be rescheduled within up to 24 months of the original departure date
  • Rescheduled trips may be subjected to revised pricing of operational costs as permits or governmental fees can change significantly


6. Travel Insurance (Mandatory)

Comprehensive travel insurance is required for all guests and should cover:

  • Trip cancellation or interruption
  • Medical treatment and emergency evacuation


7. Tour Commitment

Tropos Adventures is committed to handling every cancellation with fairness, compassion, and integrity, seeking the best possible outcome for both our guests and out local team.
